IMPORTANT NOTICE TO KUSA MEMBERS

Termination of the use of the SA Post Office as KUSA’s service provider for the despatch of documents

Relocation of the KUSA Office – Courier Services

Due to the high volume of returned, undelivered, or lost mail, it is no longer viable for KUSA to make use of the South African Post Office (SAPO) in the despatch of documents.  Postnet offer reliable courier services – Postnet2Postnet Pre-paid @ R99.00*, Postnet2Door Non-Express @ R185.00* (Major Centres) and Postnet2Door Non-Express @ R275.00*(Regional Centres), which are all trackable.

Please be advised that, with immediate effect, the following services will be subject to a payment of a Courier Fee:

  • Despatch of all forms of Registration and Health Certificates
  • Despatch of Registration Certificates following Transfer of Ownership
  • Despatch of any re-issued Registration Certificates, except as a result of bona fide Office errors
  • Despatch of Replacement (duplicate copies of) Registration Certificates
  • Despatch of Registered Affix Certificates
  • Despatch of Export Pedigrees
  • Despatch of Champion, Grand Champion, Supreme Champion and Junior Merit Certificates
  • Despatch of Award Certificates, Workbooks and Record Cards
  • Despatch of National Award Certificates

The Subscription and Fees document, issued pursuant to Schedule 7, has been amended to make all services involving the despatch of documents or goods subject to the payment of the Courier Fee.  All services which will attract a Courier Fee have been identified with an asterisk*.

The application/request for any service resulting in the despatch of documents (see above) must include the Courier Fee and be accompanied by a Courier Delivery Form (downloadable from the KUSA website), on which the applicant/consignee can indicate his/her preference of Postnet Courier Service and provide the essential information required for Courier Despatch and Delivery.

To avoid confusion or delays, we request strict adherence to the procedure below when submitting applications/requests for services involving the despatch of documents:

  • The Application Form for the service, or letter of request (where there is no Application Form)
  • The Proof of Payment (inclusive of the Courier Fee)
  • The completed Courier Delivery Form

Please use your Name and KUSA Membership Number as the bank beneficiary reference and as the email subject line. 

DO NOT SUBMIT COURIER DELIVERY FORMS OR PROOF OF PAYMENT SEPARATE FROM APPLICATION FORMS. 

PLEASE NOTE THAT NO CERTIFICATES OR DOCUMENTS WILL BE ISSUED OR DESPATCHED WITHOUT PAYMENT OF THE REQUIRED COURIER FEE.

As communicated to Members through the Minutes of meetings of the Federal Council, the KUSA Office will be relocating to new premises at the end of September 2021. Every effort will be made to minimise disruption of our services to Members.

During the transition period, and until further notice, Members are requested NOT to arrange for collection of Certificates by third party Courier Companies from the KUSA Office. Certificates will only be despatched via the aforementioned Postnet service options. Once we have settled into our new premises, the list of Courier Service Providers will be expanded and collection from the new KUSA Office premises will once again become an option.

Members are urged to submit all application documentation to the KUSA Office via the online Members’ Portal or via email, including applications for Transfer of Ownership. (Scan and email the front and reverse side of Certificate of Registration, signed by both the Transferor and Transferee). Original documentation is only required when submitting an application for Registration of an Imported Dog. Original documentation can be sent to Postnet Long Street, No. 2 Long Street, Cape Town, marked for the attention of KUSA. Do not post any documentation to the KUSA Office.

We apologise in advance for any inconvenience that may be caused during the transition period. The aforementioned changes were necessitated by the increasingly unreliable service of the SAPO, which has resulted in KUSA incurring considerable costs due to non-delivery of postal items. It became imperative to take steps to ensure timeous delivery of documents to Members and designated third parties to alleviate frustration for all concerned.

In order for the KUSA Office to deliver the quality service expected by Members, adherence to the procedures set out above is paramount. We appeal to our Members to assist the KUSA Office in meeting their expectations with regard to service-delivery.
